Office Manager

  • Full-time, 35 hours per week

The Catholic Media Association has been uniting and serving Catholic media since 1911. We are the most active and vibrant group of Catholic media professionals in the world, with more than 200 publication members and 600 individual members. Member publications reach nearly 10 million households plus many more through digital media.

The Office Manager oversees the Catholic Media Association’s office environment and activities, manages all bookkeeping responsibilities and works with our accounting team, handles day-to-day administrative operations, maintains membership records and relationships, and plays an important role in helping produce the annual Catholic Media Conference.

The Office Manager has strong organizational and communication skills, is comfortable working independently and in small groups, and has a member-service mindset. This position reports to the Executive Director.

Duties and Responsibilities
Accounting Assistance
  • Accounting and tracking of membership dues; annual conference budget; awards program income and expenses; grants, training programs and consultations; and advertising and sales.
  • Assist accountants with tax preparation and annual audit.
  • Prepare and send annual dues invoices and ensure that office records reflect when dues have been processed.
  • Process new membership applications and records, ensuring and processing payment.
  • Ensure that all items are invoiced and paid on time. 
  • Assist team with projects and miscellaneous tasks as needed.
  • Manage the membership database and provide assistance to members as needed.
  • Manage the production of the annual Member Directory.
  • Support the Catholic Media Conference National Planning Committee in coordinating website content, onsite program, sponsors and exhibitors, etc.
  • Print and mail member cards on an annual basis.
  • Work with the Membership Committee to welcome new members through emails and Welcome Packets.
  • Manage circulation list for The Catholic Journalist monthly member newspaper.
  • Perform other job-related tasks necessary and/or assigned by the Executive Director.
Knowledge and Skills
  • Proven experience as an office manager or administrative assistant.
  • Knowledge of office administrator responsibilities, systems and procedures.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
Education and Experience
  • Preferred candidates will hold an associate or bachelor’s degree in business administration or in a related field, or equivalent experience.
  • Bookkeeping or accounting experience.
  • Experience in membership organizations is helpful.
Employment Details

This is a full-time position (35 hours per week) with a salary commensurate with skills and experience, and the following benefits:

The Catholic Media Association office is in downtown Chicago, Illinois. The CMA team is mostly working in a hybrid environment at present and has fairly flexible expectations about working from the office or at home, even when conditions are thoroughly safe. Candidates for this position should be willing to work in the main office three to four days per week. The job includes travel to the annual Catholic Media Conference each summer.
